Privacy Policy

This Privacy Policy describes how we process personal data when you use the AXION cloud business software, web interfaces, and iOS/Android mobile apps distributed through the Apple App Store and Google Play. It should be read together with in-store “Privacy” / “App Privacy” summaries; if anything appears inconsistent, this policy and in-product notices govern how data is actually handled.

Categories of data (depending on features you use): identity and contact information (name, email, phone, company/title), account and authentication data, role and permission records, subscription and payment/billing data, content you submit in support tickets, service logs (operational and audit trails), and limited technical telemetry (app version, OS and device model; crash and performance reporting is kept aggregated or de-identified where feasible). We do not intentionally collect special-category health or biometric data unless a feature is explicitly offered with separate notice and, where required, consent.

Mobile permissions: notifications, camera, photo library, files, or location are accessed only when you use the related feature and grant permission through the operating system prompts. Organisations using AXION for their workforce may configure additional data fields; in those cases the organisation may also act as a controller or processor.

Location: the app does not continuously or silently collect background location. Location is processed only if a workflow clearly requires it and you have granted permission for that scope and duration.

Purposes: contract performance, account and access management, billing and accounting, customer support, security, fraud prevention, legal compliance, and service reliability and quality improvements (preferably using aggregated or anonymous analytics). We do not sell your personal data for advertising and we do not sell tracking profiles to third parties; analytics are used with data minimisation for service improvement and security.

Legal bases: contract, legitimate interests (security, fraud prevention, integrity of the service), legal obligation, and consent where required. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

Processors and transfers: we may share data with vendors such as hosting, email delivery, payment processors, support, and security providers under confidentiality and data-processing terms. International transfers use safeguards compatible with applicable law (for example standard contractual clauses or adequacy decisions where relevant). Lawful requests from competent authorities remain reserved.

Retention and account closure: data is kept only as long as needed for the purposes above and statutory retention periods, then deleted, destroyed, or anonymised. To close an account or request deletion of specific data, email [email protected]; we may verify identity and respond within applicable timelines.

Security: we apply technical and organisational measures such as access controls, encryption where appropriate, privilege management, logging, and incident handling. No method of transmission or storage is 100% secure; we work to reduce risk on an ongoing basis.

Your rights (including under GDPR and similar laws, summarised): access, rectification, erasure, restriction, portability, objection to certain processing, and the right to lodge a complaint with a supervisory authority. Submit requests via [email protected].

Children: AXION is intended for business and professional use; it is not directed at children under 18 and we do not knowingly collect their personal data. Parents or guardians who believe a minor’s data was collected may contact us for deletion.

Apple and Google: distribution, device-level settings, and certain account or payment flows may be subject to Apple’s and Google’s own privacy policies and store terms. You can manage device privacy settings in the operating system menus.

Web and cookies: on axions.app we may use session, security, and preference cookies, and optional analytics cookies; details appear in the Cookie Policy and any cookie preference centre we provide.

Changes: we may update this policy from time to time. Material changes may be communicated by email, in-app notice, or a website announcement. The current version is always published on this page.
